Lotus Mind Credentialing Services

Getting credentialed with insurance panels can be overwhelming—but you don’t have to do it alone. I offer personalized credentialing services to help therapists, counselors, and other licensed professionals get paneled efficiently and accurately, so you can focus on your clients and your practice.

What I offer:

  • Guidance on which insurance panels may be the best fit for your practice
  • Full credentialing application submission and follow-up
  • Assistance with CAQH setup and updates
  • Ongoing support and communication throughout the credentialing process
  • I specialize in credentialing with major commercial insurance panels, with a primary focus on companies operating in Oklahoma. If you're seeking credentialing in another state, I’m happy to help where I can—but please note that I may not be as familiar with state-specific plans or regional HMOs outside Oklahoma.

Pricing:

  • $100 for the first panel
  • $80 for each additional panel
(This rate applies regardless of when you decide to add more panels—no time limits.)
  • $50 for CAQH setup

  • Half the fee is due when the application is submitted
  • The remaining half is due once your contract is received from the insurance company

Frequently Asked Questions

Please reach us at kristin@lotusmindllc.com if you cannot find an answer to your question.

Most applications take 60–120 days to process, depending on the insurance panel. However, some companies—like Blue Cross Blue Shield—can credential providers in as little as 2 weeks in some cases.

If you've been credentialed with insurance companies before or already have an active CAQH profile, the process often moves much faster. I’ll keep you updated throughout and follow up regularly on your behalf.

To make the process as smooth as possible, I’ll send you a credentialing intake form that collects everything I need up front. Occasionally, additional questions may need to be answered. This helps prevent delays and minimizes back-and-forth.

Typically, you’ll need to provide:

  • Professional license
  • Malpractice insurance certificate
  • Resume or CV
  • NPI numbers (Type 1 and/or Type 2)
  • Practice address and contact details
  • Tax ID and W-9
  • CAQH login credentials (or I can help you create/update one)

Once your information is received:

  • I’ll let you know when each application is submitted
  • When the insurance company issues your contract, I will forward it to you for digital signature
  • I’ll be available to help with any questions you have about signing or returning it

Yes—if you need help setting up or updating your CAQH profile, I offer this as an optional add-on service for $50.

This includes:

  • Creating a new CAQH account (if needed)
  • Completing or updating your profile
  • Uploading documents (license, insurance, etc.)
  • Ensuring your profile is attested and ready for insurance submission

This service is not included in the panel credentialing fee. It can be added on at any time if needed.

The first half of the credentialing fee is non-refundable, as it covers the time and effort involved in preparing and submitting your application.  If you are not accepted by the insurance panel, I will not charge you the second half of the fee.

If a denial or delay occurs due to incorrect information I provided, I will take responsibility and correct the issue at no additional charge.

If the denial is due to inaccurate or incomplete information provided by you, I will notify you and forward the response from the insurance company so you can review or appeal if needed.

While I can’t guarantee acceptance (as that decision is made by the insurance panel), I do my best to ensure applications are complete, accurate, and submitted in a timely manner.

I use Square to make payment easy and secure. Once we begin the process, a Square invoice will be sent to your email.

  • 50% of the total is due when I submit your application(s)
  • The remaining 50% is due once you receive a contract from the insurance company
  • If you're adding CAQH support, that $50 fee will be included on your initial invoice

Payment can be made directly through the secure link in the invoice using a debit/credit card.

I primarily work with national commercial plans (like BCBS, Aetna, Optum, Cigna, etc.) and have the most experience with Oklahoma-based providers. If you're in another state, I’m happy to help where possible—but I may not be familiar with state-specific panels (like regional HMOs or Medicaid alternatives). Feel free to reach out and I’ll let you know if it’s a good fit!

Not at this time. These programs require different enrollment processes, but I can refer you to someone who does.

Yes—you’ll need at least one NPI to begin the credentialing process.

  • NPI Type 1 is your individual provider number. This is required for all credentialing applications.
  • NPI Type 2 is an organizational NPI, used if you plan to bill under a business name (such as an LLC, PLLC, or group practice).

You’ll also need to consider whether to get an EIN (Employer Identification Number) to receive payments under a business name instead of your Social Security number.

Planning Ahead:

If you think you might want to:

  • Add other clinicians in the future
  • Set up a group contract with insurance companies
  • Bill under a practice name rather than your personal name

…then it’s a good idea to set up an NPI Type 2 and an EIN now. Many insurance companies require both for group contracts and business-level credentialing.

UnitedHealthcare (Optum) has a unique process that must be completed before I can begin your credentialing application.

Step 1: One Healthcare ID Setup

You’ll need to create a One Healthcare ID and link it to your NPI at UHCprovider.com. This is required before I can access the provider portal to submit your application.

I Can Help With This

If you’d like me to complete this step for you:

  • You’ll receive a time-sensitive verification code (via text or email)
  • I’ll need you to send me that code immediately so I can finish the login
  • Once submitted, UnitedHealthcare must approve access to the portal, which can take a few business days

Credentialing with United cannot begin until your portal access is approved by UHC/Optum.

I’ll guide you through the process or handle it for you—whichever you prefer.
